Everyday Heroes Fitness Inc. ("we", "our", or "us") respects your privacy. This Privacy Policy explains what personal information we collect through our website, our coaching application funnel, and our online coaching program, how we use it, and the choices you have. We operate from Ontario, Canada, and handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).
1. Information We Collect
We collect information you provide directly when you fill out a form, download a free resource, book a call, apply to work with us, or enroll in a program:
- Name, email address, and phone number
- Your answers to application and qualification questions (for example, your role, shift schedule, fitness goals, current situation, and readiness to invest in coaching)
- Health and fitness background you choose to share so we can coach you safely, such as injuries, training history, body weight, and nutrition habits
- Appointment details when you schedule a call
- Progress photos, check-in data, and messages you share with your coach inside the program
We also collect certain information automatically when you visit our pages, including device and browser information, IP address, pages viewed, and campaign parameters such as UTM tags that tell us which ad, video, or link brought you here.
2. How We Use Your Information
- To review your application and deliver our coaching services
- To build and adjust your training and nutrition plan and track your progress
- To communicate with you by email about your application, appointments, check-ins, and our programs
- To send you text messages, only if you give us separate, optional consent on our forms. SMS consent is never required to apply, book, or purchase, and is governed by our SMS Terms
- To understand which marketing campaigns work so we can improve our pages and offers
- To meet legal, tax, and accounting obligations
3. Consent
By submitting a form on our site, you consent to the collection and use of your information for the purposes described above. Where the law requires express consent, such as for text message marketing, we ask for it separately with a clearly labeled optional checkbox. You may withdraw consent at any time by contacting us at [email protected] or by using the unsubscribe or STOP options in our messages.
4. Health Information
Some of what you share with us, such as injuries, medical conditions, or body measurements, is sensitive. We collect it only so your coach can program safely around it, we limit access to the coaching team who works with you, and we never use it for advertising. You decide how much to share. If you prefer not to disclose a condition, tell your physician instead and follow their guidance.
5. Storage and Service Providers
Your information is stored in the systems we use to run our business, including our customer relationship management (CRM) platform, scheduling and booking software, our coaching app, email and SMS delivery services, and payment processors. These providers process your information on our behalf under their own security and privacy commitments. Some providers store data on servers located outside Canada, including in the United States, where it may be subject to the laws of those jurisdictions.
6. We Do Not Sell Your Personal Information
We do not sell, rent, or trade your personal information. We do not share your mobile phone number or SMS consent data with third parties or affiliates for their marketing purposes. We share information only with the service providers described above, or where required by law.
7. Cookies, Pixels, and Analytics
Our pages use cookies and tracking pixels, including advertising pixels from platforms such as Meta, Google, TikTok, and YouTube, to measure ad performance, remember your visit, and show relevant ads. These tools may collect device identifiers and browsing activity on our pages. You can limit or block cookies through your browser settings, and you can adjust ad preferences directly with the advertising platforms.
8. Testimonials and Transformation Photos
We publish client results, testimonials, and before-and-after photos only with the written permission of the client involved. If you have given permission and want it withdrawn, email us and we will remove the material from our pages within a reasonable time.
9. Retention
We keep personal information only as long as needed for the purposes described in this policy, or as required by law. Application records and client files are kept for the duration of our relationship and for a reasonable period afterward to handle follow-up questions, legal requirements, and bookkeeping. When information is no longer needed, we delete it or de-identify it.
10. Your Rights
Subject to limited exceptions under PIPEDA, you have the right to:
- Request access to the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Request deletion of your information
- Withdraw consent to communications at any time

11. Security

12. Children
Our services are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
13. Changes to This Policy
We may update this Privacy Policy from time to time. The effective date at the top of this page shows when it was last revised. Continued use of our site after changes are posted means you accept the updated policy.
